The Accounting and Administrative Associate is responsible for supporting the company's financial operations and administrative functions to ensure efficient business operations. This role performs day-to-day accounting activities, including accounts payable, accounts receivable, invoicing, financial recordkeeping, and bank reconciliations, while providing administrative support for office operations, business systems, and company events. The Accounting and Administrative Associate contributes to maintaining accurate financial records, improving internal processes, and delivering exceptional customer service while collaborating with internal departments and external business partners.

Responsibilities

The Role

Accounting & Financial Operations

  • Process customer orders and generate accurate invoices in a timely manner.

  • Maintain accounts payable and accounts receivable, ensuring timely processing of payments and collections.

  • Record and maintain financial transactions, including preparation of monthly financial reports.

  • Process checks, maintain accounting ledgers, and ensure the accuracy of the General Ledger.

  • Reconcile company bank accounts and assist with month-end financial close activities.

  • Work collaboratively with department managers and internal and external accountants to support financial reporting and compliance.

Administrative & Business Operations

  • Provide administrative support for daily business operations and office functions.

  • Assist with planning, coordination, and logistics for trade shows, conferences, and company events.

  • Contribute to maintaining positive customer relationships by providing responsive and professional service.

  • Support document preparation, filing, and general office administration.

Process Improvement & Business Systems

  • Assist in developing, documenting, and maintaining business processes, procedures, and internal systems.

  • Identify opportunities to improve workflow efficiency and administrative processes.

  • Maintain accurate records and documentation in accordance with company policies.

  • Collaborate with cross-functional teams to support continuous improvement initiatives and efficient business operations.

KEY REQUIREMENTS

The Candidate

  • Education: Bachelor's degree in Accounting, Business Administration, Finance, or a related discipline required.

  • Experience: 0–3 years of accounting, bookkeeping, or administrative experience preferred.

  • Organization: Strong organizational and time management skills with exceptional attention to detail and the ability to manage multiple priorities.

  • Communication: Excellent written and verbal communication skills with strong grammar, spelling, and interpersonal abilities.

  • Work Style: Ability to work independently, meet deadlines, maintain confidentiality, and exercise sound judgment with minimal supervision.
